Professional skills

Eight skills that sum up administrative and operations work. Each page explains what the skill involves, why I consider it important and how I have applied it at INDIBA, the UOC, Clínica Dermik and Dicom Events.

Administrative process managementAdministrative process management means defining, ordering and controlling the sequence of steps a procedure follows from start to close: who is involved, which document each step produces, by when it must be completed and how it is recorded. Document managementDocument management is the control of the life cycle of an organisation's documents: how they are created, where they are stored, under what name, who can consult them, when they expire and how they are retrieved when needed. Quotes and invoicingQuote and invoice management runs from requesting prices from suppliers to issuing the customer invoice: preparing the quote, recording its approval, checking that what is invoiced matches what was done and approved, and resolving differences when they arise. Incident managementIncident management is the set of steps by which any problem reported by a customer or colleague is received, logged, classified, resolved and closed: a device that fails, an incorrect invoice, a misallocated appointment, missing documentation. Inventory and loan-equipment managementInventory management is the control of what there is, where it is, in what condition and for whom it is reserved: devices, spare parts, consumables or sales stock. Cross-department coordinationCross-department coordination is the liaison function that ensures a process passing through several areas — technical, sales, logistics, administration, management — does not stall in any of them. Remote work in administrationRemote administrative work means carrying out administrative functions — case management, documentation, communication with customers and candidates, coordination — without being physically in the office, relying on collaboration tools and on processes that leave a written record of each step. Self-taught tool adoption and digital adaptabilitySelf-taught tool adoption is the ability to take on a new program — a CRM, an ERP, a document management platform, an expenses app — without depending on formal training: reading the documentation, testing with real cases, finding answers in tutorials and forums, and using AI assistants to resolve specific questions.
