Administrative process management

Administrative process management means defining, ordering and controlling the sequence of steps a procedure follows from start to close: who is involved, which document each step produces, by when it must be completed and how it is recorded. A well-managed process is repeatable, measurable and does not depend on one person's memory.

Why I consider it important

Most delays and errors in an administrative department do not come from difficult tasks but from steps nobody owned or that were done differently depending on who did them. When the process is defined, anyone on the team can follow it, incidents are caught earlier and the customer gets the same answer regardless of who handles them. A clear process is also the basis for digitising it: you cannot automate what is not in order.

How I apply it

In every role I have worked on processes that already existed, documenting them when they were not and adjusting them when they failed. My rule is simple: every step has an owner, an associated document and a deadline. When one of the three is missing, that is usually where the problem is.

Concrete examples

INDIBA2023–present

each technical service case follows a fixed sequence — incident logging, equipment pick-up, diagnosis, quote, approval, repair, invoice and shipment — with one status per stage in Microsoft Dynamics 365. Anyone on the team can see where a device stands without asking.

UOC, through SEPAL2021–2023

the hiring round for 250 associate lecturers was run as a batch process: posting vacancies, receiving applications, phone verification, interview scheduling and finalists' documentation, with a single mailbox and deadlines per stage.

Clínica Dermik2015–2021

the circuit of a treatment — quote, insurer authorisation, appointment, operating room and invoicing — was documented so the reception team applied it the same way across three shifts.

Frequently asked questions

What is the difference between managing a process and doing administrative tasks?

The task is each step; the process is the ordered set of steps and their control. Managing the process means knowing where each case stands, spotting where it gets stuck and adjusting the sequence when something fails repeatedly.

Is a specific tool needed to manage processes?

No. A process can be managed with a CRM such as Dynamics 365, with an ERP or with a well-designed spreadsheet. What matters is that every case has a visible status and an owner.

How do you know an administrative process works?

When cases close within the expected time, incidents are caught in the stage where they occur rather than at the end, and anyone on the team can pick up a case someone else started.
